For an Amazon FBA seller, the pre-payment risk is concentrated in three places: whether the company taking your deposit is the company you researched, whether the supplier can actually meet packaging and labelling requirements that Amazon enforces on arrival, and whether mass production will match the sample you approved. Verification addresses the first, gives you evidence on the second, and can only partly reach the third — which is why an inspection before shipment remains a separate necessity.

Supplier identity is the first exposure

FBA sellers typically pay a deposit against a proforma invoice from a company they have never met, in a jurisdiction where they have no practical recourse. The single most valuable pre-payment check is confirming that the storefront, the invoicing entity and the bank beneficiary are one identifiable registered company — or, where they differ, that the relationship is explained before money moves.

  • Match the Alibaba or trade-show contact to a registered Chinese legal entity.
  • Confirm the beneficiary name on the payment instructions is that same entity.
  • Check registration status and abnormal-operation indicators, not just existence.
  • Establish whether you are dealing with the manufacturer or an intermediary.

Packaging and labelling failures land on you, not the supplier

Amazon rejects or holds inventory for label, barcode and packaging problems, and a supplier that has never shipped into an FBA network may not understand the requirements. During a live visit you can see the packing area, look at cartons for other customers, and ask directly how FNSKU labelling and polybag requirements are handled. That is evidence about capability, not a guarantee of compliance.

  • Confirm carton marking, master carton quantities and pallet requirements in writing.

Private-label risk and the sample gap

An approved golden sample and a mass-production run are different things, and the gap between them is where most first-order disappointment lives. Verification cannot close that gap. What it can do is establish whether the company producing the run is the company that produced the sample, whether processes are subcontracted, and whether an inspection stage exists in your terms before the balance falls due.

  • Ask whether the sample was made in-house or by a subcontractor.
  • Confirm tooling ownership if the product requires a mould.
  • Require a pre-shipment inspection stage before balance payment.
  • Retain a signed-off golden sample as the reference for that inspection.

Payment timing

The usual structure is a deposit against the order and a balance before shipment or against documents. The risk sits in the deposit, which is why we treat the pre-deposit review as the highest-leverage moment. Once the deposit is sent, your negotiating position on everything else is materially weaker.

Where verification stops for you

Verification is not product compliance. Whether your product may lawfully be sold in your market — safety standards, testing, labelling, chemical restrictions, battery and packaging rules — is a separate question that requires laboratory testing and, where relevant, professional regulatory advice. A supplier saying a product is "CE certified" is a document claim, not a verified conformity assessment.
